Managing Microsoft NCE Promotions: Pricing, Application, and Broker Guidelines

Overview

Microsoft offers time-limited promotions on selected New Commerce Experience (NCE) seat-based products. A promotion gives the Broker a discount on the cost price.

You manage a promotional price the same way you manage the price of any other NCE product:

  • Set a Broker-level (global) sales price.

  • Set an Organization-specific sales price.

  • Apply price rules.

  • Schedule, stop or remove prices.

The promotional price you set is used when an Organization buys a subscription with that promotion applied. It is also used on the subscription and in billing.

This article covers:

  • Finding promotions in the Price List

  • Setting a promotional price

  • How promotional prices are used at purchase and in billing

  • Bridge to the Cloud promotions

For how to apply a promotion when you create a subscription, see Applying Microsoft Promotions for New Commerce Experience Subscriptions.

Finding Promotions in the Price List

Promotions are available in both the Broker-level and the Organization-level Price List.

  1. Open the Price List:

    • Broker level: navigate to Billing > Price List.

    • Organization level: navigate to Manage Organizations > Organizations, select the organization, then go to Billing > Price List.

  2. In Service, select Microsoft 365 CSP Direct.

  3. In Product groups, select NCE - Promotions.

  4. Click Search.

The list shows one row per promotion and term. Each row shows:

  • Product Name & Item Code – the promotion name, and the item code of the base NCE product the promotion applies to. For example, Windows 365 Enterprise 4 vCPU, 16 GB, 256 GB-W365 Enterprise 20% Promo with item codeCFQ7TTC0HHS9:000T:P1Y:ANNUAL.

  • Cost Price – the base product’s cost price with the promotion discount applied.

  • Recommended Price – the base product’s recommended price with the promotion discount applied.

  • Sales Price – defaults to the recommended price until you change it.

  • Active Price Rule, Margin and currency – the same as for other NCE products.

Promotion rows are searchable by:

  • Product ID of the base product

  • Product name

  • Full promotion ID, for example 39NFJQT12LGM:0002:084R5MQ9QF2R

  • Part of a promotion ID

Note: Select NCE - Promotions in Product groups before you search. A search across all product groups does not return promotion rows yet.

Note: Cost and recommended prices for promotions are recalculated when Microsoft’s monthly NCE price list changes the base product’s prices.

Setting a Promotional Price

You can change the sales price directly in the grid, or use Edit price to schedule prices and apply price rules.

Change the sales price in the grid

  1. Find the promotion row as described above.

  2. Enter the new value in Sales Price.

  3. Click Update, then Proceed.

Only the sales price and margin change. The cost price and recommended price stay as they are.

Schedule a price or apply a price rule

  1. On the promotion row, click Actions > Edit price.

  2. The Default (MSRP) row shows the promotion’s recommended price. Its start and end dates are the promotion’s start and end dates.

  3. Add a price with a Start date, an optional End date and a Sales Price, then click +.

  4. Click Proceed.

You can apply the same price rules as for other NCE products:

  • Fixed Margin

  • Discount on MSRP

  • Fixed Sales Price

To end or undo a promotional price:

  • Stop sets the end date of an active price to today. The row stays in the price history.

  • Remove deletes a price that has not started yet.

Price hierarchy works the same as for other products. An Organization-specific promotional price overrides the Broker-level promotional price for that Organization. If no Organization-specific price is set, the Broker-level price applies.

How Promotional Prices Are Used

At purchase

When you create an NCE seat-based subscription and select an eligible promotion:

  • Price/Month shows the promotional sales price from your Price List for that Organization.

  • Broker margin is calculated from that promotional sales price and the discounted cost price.

On the subscription and in billing

For a subscription with a promotion applied, Cloudmore stores the promotional price from your Price List at these moments:

  • Purchase

  • Mid-term full upgrade

  • Renewal

The subscription view and billing use that stored promotional price. Changing the Price List later does not change the price of an existing subscription until its next renewal or full upgrade.

Bridge to the Cloud Promotions

Bridge to the Cloud (BTTC) promotions can only be bought by the Broker on behalf of the Organization.

  • BTTC promotions appear in the NCE seat-based purchase window only for Broker-level users.

  • Organization users do not see BTTC promotions and cannot buy them through self-service.

  • If a BTTC promotion would have been preselected as the best offer, Organization users get the next-best eligible promotion instead. If none is left, Do not apply promotion is selected.

BTTC promotions are still listed in the Price List, so you can set prices for them.
